Overview
A mailbox on your own domain — info@yourcompany, for instance — is the official signature of your business in digital space. Corporate email is more than message storage: it is the infrastructure behind sales conversations, contracts, invoices and the transactional mail your website generates. Left on free accounts or a half-configured setup, the day always comes when an invoice lands in spam or a mailbox opens a ransomware-tainted attachment. Our domain registration service at PBDP is completed by exactly this offering: mailboxes created on your own domain, with webmail, IMAP/SMTP access, anti-spam and antivirus filtering, shared calendars and contacts, and storage sized to headcount and future hiring rather than to today's guess.
Why a free account never builds a corporate mail identity
First is credibility: a domain-based address tells customers, banks and partners that you are an organisation with a registered identity, not an individual behind an anonymous inbox. Second is ownership: if a key employee leaves taking a personal address with them, the correspondence walks out the door; on a corporate plan the mailbox is company property and hands over with a password reset. Third is deliverability: free and low-quality shared servers carry poor IP reputation and route your commercial mail to spam folders. Fourth is security: an admin console, two-factor authentication, login logs and a password policy are the layers we scrutinise in security assessments — most breaches begin in a mailbox, not in the web application itself.
The technical records that decide whether your mail arrives
The gap between professional and amateur email is DNS records. SPF declares which servers may send as your domain, DKIM cryptographically signs each message, and DMARC states what receivers should do with forgeries. Without all three, your domain becomes fuel for phishing and brand-spoofing campaigns, and the big global mail services judge your messages suspiciously. We configure and verify these records step by step and confirm the result with independent checkers; you see the payoff directly in the inbox placement of campaigns sent through your email marketing automation platform. Encryption is obligatory too: secure links between mail servers and client apps depend on valid SSL certificates, and ignoring them leaks staff passwords along with the recipient's trust.
What you receive
- Mailboxes on your domain: as many as you need, with centrally administered names, aliases and passwords in an organisational console.
- Webmail and mobile access: browser use plus iOS and Android setup over IMAP/SMTP, with shared calendars and address books.
- Server-side anti-spam and antivirus: filtering applied before messages reach the mailbox, not after they land.
- SPF, DKIM and DMARC records: configured and verified, documented through our training and documentation so your IT contact can read the setup.
- Mailbox migration: old mail carried across without losing correspondence, inside our migration services framework.
- Mailbox backups: recovery space for messages deleted by mistake, hosted on Linux hosting or cloud storage as the plan requires.
How the work proceeds
- Mailbox structure design: naming conventions, distribution groups and per-user quotas agreed before provisioning.
- Service selection and DNS configuration: MX records placed and domain ownership verified with the provider.
- Migration and integration: historical mail imported, signatures set, and mailboxes connected to the tools the team already uses.
- Hardening: two-factor authentication and password policy switched on, aligned with our security updates service.
- Training and handover: connection guides for staff and a support channel for the first critical weeks.
Cost, scale and the team's future
Pricing follows mailbox count and storage per user, so a team of ten and a team of a hundred are quoted differently, and adding a colleague mid-contract is routine rather than renegotiation. Two mistakes recur and both are expensive: buying a large plan for a team whose structure does not exist yet, and leaving mail administration to non-technical staff without written documentation. Before selling anything we advise from your real headcount, attachment volumes and the spam risk profile of your industry; corporate mail is part of the same hosting portfolio described in our infrastructure services list.
Frequently asked questions
Is corporate email the same thing as the mail included with hosting?
Many hosting bundles include mailboxes, but service quality differs materially: a dedicated mail platform brings better IP reputation, deeper administration tools and stronger filtering, and that combination is what raises deliverability. For sales-led teams — or any company where email is the artery of conversation — we recommend a dedicated mail service even when the website itself lives on another host.
Will migrating from my previous provider lose messages?
No. The new service is brought up first and both mailboxes run in parallel; historical mail is imported, a delivery checklist is signed off, and only then do the MX records switch. Nothing is lost inside that window, and if anything looks wrong, reverting the MX record returns the domain to its previous state immediately.
Can you also move mail to the big international suites?
Yes. We are not tied to one platform; depending on budget and team habits we recommend either a lightweight self-hosted webmail or the major international suites, and perform the full migration ourselves. Where payment or access restrictions apply, alternative architectures and locally hosted mail are also part of the options we design.
